This Privacy Policy explains what personal data we collect, why we use it, who we share it with, how long we keep it, and what your rights are. If you have any questions, contact us at [email protected].
1. Who this policy covers
This policy covers visitors to woglobal.net, people who contact us, and customers who create an account or buy from us. It does not cover third-party websites we link to, such as our domain partner or payment processors. They have their own privacy policies.
2. What we collect
Details you give us
- Your name, email address, phone number, company name, country and address.
- Messages you send in orders, support tickets and the contact form, and any files you attach.
- Content, logins and material you give us for your project.
Details we record when you use the website
- Your IP address and browser details when you sign up, log in, check out, or sign a document.
- Your electronic signatures on the Customer Agreement and order sign-offs, with the date and time, IP address, browser, and a signed PDF copy.
- Security logs, such as logins, failed login attempts, blocked requests and emails we send you.
Payment records
- Invoices, amounts, payment method, payment references and the status of each payment.
- We do not receive or store your full card number. Card details are handled by the payment processor.
3. Why we use your data and our legal bases
| What we do | Legal basis |
|---|---|
| Create and manage your account, approve it, and confirm your email | Contract |
| Take orders, send invoices, deliver work, downloads and hosting | Contract |
| Answer your messages and support tickets | Contract, or legitimate interests for visitors who are not customers |
| Keep electronic signatures and proof of delivery | Contract and legitimate interests (handling disputes and chargebacks) |
| Keep invoices and payment records | Legal obligation (accounting and financial record laws) |
| Protect accounts, block bots and fraud, keep security logs | Legitimate interests (keeping our website and customers safe) |
| Optional analytics, if we turn it on | Consent where the law requires it |
| Optional two-step login | Your choice, as part of the contract |
"Legitimate interests" means we have a fair business reason, and we have checked that it does not override your rights.
We do not use your data for automated decisions that have legal effects on you. Our staff review new accounts by hand.
4. Who we share data with
We only share what each provider needs to do its job. They act on our instructions.
- Hosting provider: stores our website, database and files.
- Email delivery (Brevo): sends our emails to you.
- Payment processors (Flutterwave, Commas, Creem): take card and online payments. They receive the details needed to process and check the payment.
- Cloudflare Turnstile: checks that forms are used by people, not bots.
- Google Analytics: only if we turn it on, to understand how the website is used.
- Trustpilot: only if we turn on the reviews widget, which loads content from Trustpilot.
We may also share data:
- with a bank or payment company when a dispute or chargeback is opened, including your signed agreement, order records and delivery proof;
- when the law, a court or an authority requires it;
- to protect our rights, our customers, or the public from fraud or abuse;
- with a buyer or successor if our business is sold or reorganized.
We do not sell your personal data.
5. Cookies
We use only the cookies we need to run the website safely:
- Session cookie: keeps you logged in and remembers your choices while you browse.
- Security cookies: protect forms and logins against fake requests and bots.
If we turn on Google Analytics, it sets analytics cookies to count visits. Where the law requires it, we ask for your consent first. You can also block or delete cookies in your browser settings. If you block our session cookies, you will not be able to log in.
6. How long we keep data
- Your account: for as long as it is active.
- Invoices and payment records: as long as the law requires, usually at least 7 years. This also covers signed agreements and the logs about orders and payments.
- Security logs: according to our retention settings, typically 90 days to 1 year. Old entries are removed automatically.
- Support tickets and attachments: for the life of your account.
- Contact form messages from visitors: for as long as needed to answer and follow up.
When a period ends, we delete the data or make it anonymous.
7. Your rights
Depending on where you live, you may have the right to:
- Access the personal data we hold about you and get a copy.
- Correct data that is wrong or incomplete. You can update most details in your account.
- Delete your data. We can delete your account and its personal data, but we keep the records the law requires, such as invoices and payment records.
- Object to how we use your data based on legitimate interests.
- Portability: receive your data in a common format so you can move it elsewhere.
- Withdraw consent for optional things, such as analytics, at any time.
To use any of these rights, email [email protected] or open a support ticket. We may ask you to confirm your identity first. We answer within 30 days, or sooner where the law requires. We will not treat you differently for using your rights.
8. California residents
If you live in California, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA), gives you extra rights:
- To know what personal information we collect, use and disclose, and why. Sections 2 to 4 of this policy describe this. The categories are identifiers (such as name, email and IP address), customer records (such as address and phone), commercial information (orders and payments), internet activity (security logs), and any content you send us.
- To request access to, correction of, and deletion of your personal information.
- To opt out of the sale or sharing of personal information. We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
- To limit the use of sensitive personal information. We do not use sensitive personal information for anything beyond what the law allows.
- Not to be treated differently for using your rights.
You can make a request yourself or through an authorized agent. Contact us at [email protected].
9. People in the UK and EEA
If you live in the United Kingdom or the European Economic Area, the UK GDPR or the EU GDPR applies to our use of your data. You have the rights listed in section 7, and the right to restrict how we use your data in some cases.
If you are unhappy with how we handle your data, please contact us first so we can try to fix it. You also have the right to complain to the data protection authority in the country where you live or work. In the UK, this is the Information Commissioner's Office (ICO).
10. International transfers
We are based in the United States, and our providers may process data in the United States and other countries. These countries may have different data protection laws from yours. When we transfer personal data from the UK or EEA, we rely on safeguards such as standard contractual clauses or our providers' own approved transfer mechanisms.
11. How we keep data safe
We use reasonable technical and organizational measures, including:
- encrypted connections (HTTPS) across the website;
- hashed passwords and optional two-step login;
- email confirmation and staff approval for new accounts;
- bot checks and limits on login attempts;
- encrypted storage of secret settings;
- support attachments kept on private storage, checked for unsafe content, and only sent as downloads;
- staff access limited to what each person needs, with a log of staff actions.
No system is completely secure. If a data breach affects you, we will tell you and the authorities where the law requires.
12. Children
Our website and services are not meant for anyone under 18. We do not knowingly collect personal data from children. If you believe a child has given us data, contact us and we will delete it.
13. Changes to this policy
We may update this policy from time to time. We will change the "Last updated" date at the top. For important changes, we will tell you by email or in your account.
